Accepting Payments – Credit Card

Drill Setup: The Trainee and Coach sit at a table across from one another. The Coach has a copy of this drill in hand.

Drill Procedure: “What Do You Do?”: This drill is specifically designed to ensure understanding and ability to follow the Standard Routine studied by the Trainee. This drill is conducted by a coach, which has been assigned by a Staff Training Officer.

Each specific (scripted) question is read aloud by the Coach, directly from the drill sheet, followed by the question “What do you do?” The Trainee must respond with an appropriate/correct answer based on the reference materials studied. Answers need not be verbatim. In the event that an incorrect answer is given or the trainee does not know an answer to the question the coach is to provide them with the correct answer and the exact reference point to review. After reviewing the materials the coach asks the same question again and the drill is continued in this manner through the final question.

The drill is repeated until the trainee can complete the entire drill, answering all of the questions correctly, start to finish, without error. If the trainee is unable to pass the drill after several attempts, or if they repeatedly answer the same question(s) incorrectly they are required to restudy the materials and clear up any misunderstandings before continuing with the drill.

A pass is given when the trainee can complete the entire drill, answering all of the questions correctly, start to finish, without error.

Start of Drill

1)  The customer has completed the Enrollment Agreement and Registration form and is now ready to pay for their applicable fees and supplies. They have indicated that they will be paying with a credit card – What do you do?

                  Locate the student’s tag in Genesis.

2)  Okay – you have located the student’s tag in Genesis – What do you do?

                  Select “Sales” from the Student Action Menu.

  

3)  Good – You select “Sales” from the Student Action Menu – What do you do?

                  Enter the quantity for the applicable fees and supplies. 

  

4)  Alright –You entered the quantity for the applicable fees and supplies – What do you do?

                  Enter any applicable note.

 

5)  Good – You entered an applicable note – What do you do?

                  Select “Credit Card” for the payment type.

 

6)  Okay – you selected “Credit Card” for the payment type – What do you do?

               Click “Submit”.

7)  Great – You clicked “Submit” – What do you do?

                     Activate the Square device.

  

8)  Alright – you activated the Square Device – What do you do?

                     Click the “Add Note” button.

9)  Okay – you click the “Add Note” button – What do you do?

                     Enter the Invoice Number displayed on the Genesis Sales Confirmation Screen.        

   

10)  Good – you enter the Invoice Number displayed on the Genesis Sales Confirmation Screen – What do you do?

                     Click “Done”.

11)  Good – you click “Done”– What do you do?

                     Enter the total amount due using the keypad.

12)  Great – You enter the total amount due using the keypad – What do you do?

                     Click “Charge”.

13)  Okay – you click “Charge”– What do you do?

                     Either insert or swipe the customer’s credit card or tap their smartphone for Apple Pay/Google Pay.

14)  Alright – you have either inserted or swiped the customer’s credit card or tapped their smartphone for Apple Pay/Google Pay – What do you do?

                     Provide the customer with a receipt, delivered via text, email or print.

15)  Excellent – you provide the customer with a receipt, delivered via text, email or print – What do you do

                     Print an Authorization Slip and have the customer sign it.

16)  Good – you print an Authorization Slip and have the customer sign it – What do you do?

                     Print a customer copy of the Authorization Slip if desired.

17)  Alright – you print a customer copy of the Authorization Slip and give it to them – What do you do?

                     Email the customer an itemized receipt from Genesis if desired.

18)  Okay – you email the customer an itemized receipt from Genesis – What do you do?

                     Close the Sales Confirmation Screen.

19)  Great – You close the Sales Confirmation Screen – What do you do?

                     Hand any purchased supplies to the customer.

20)  Alright – you hand any purchased supplies to the customer – What do you do?

                     Staple the signed authorization slip to the Enrollment Agreement and Registration Form, note the payment on the outside of the manila colored finance envelope and place it inside the envelope.
